Project Assistant

Description

(a) Assist in the planning, organization and administrative work of the in-person (or virtual) IP training courses under FIT-KREDU, including arranging travel, liaising with speakers, processing invoices, and designing and implementing participant surveys;

(b) Liaise with colleagues in partner organizations to ensure effective planning and administration of collaboratively organized training courses, clarifying divisions of responsibility where necessary;

(c) Support course participants enrolled in the FIT-KREDU Distance Learning (DL) course components throughout their on-line studies, using client-oriented templates and the e-learning platform. This support service aims at ensuring that the learners receive quality on-line assistance and complete the relevant FIT-KREDU DL courses successfully;

(d) Coordinate and verify any data relating to the registrants, and prepare the course certificate for the learners who are successful in the final exam;

(e) Ensure that e-learning links work; resolve any technical issues and report to the colleagues administering the FIT-KREDU on a regular basis;

(f) Monitor the commencement of courses and progress of learning by each participant using the activity indicator provided by the Learning Management System (LMS) and undertake appropriate action to assist learners needing assistance;

(g) Ensure that all the participants and tutors undertake their on-line courses in their respective roles and that the e-learning administrative and formative phases are followed by participants before, during and after the courses;

(h) Draft and maintain e-mail communication with registered learners based on the WIPO Academy style of address throughout each online session;

(i) Provide the colleagues administering the FIT-KREDU with data and evaluation reports of the sessions in accordance with the templates for scholarships and course evaluation;

(j) Undertake research, make proposals, prepare documentation and compile information in support of IP education, coordination, monitoring and evaluation of all the face-to-face IP training courses under FIT-KREDU;

(k) Support effective business decisions by senior managers by collecting and analyzing data and producing statistics and summaries of information; follow-up with team members to ensure that information is updated regularly and update databases and systems;

(l) Assist the Project Manager in monitoring the annual FIT-KREDU budget, including preparing memoranda, budget data and cost estimates; provide support for the FIT-KREDU Planning and Evaluation meeting which is scheduled towards the end of the FIT-KREDU financial period (June/July of each year).

Reporting:
At the end of each month, the contractor would provide a status report of the FIT-KREDU activities to the WIPO Academy officials administering the FIT-KREDU.

Responsibilities

• Excellent knowledge of English (required);

• Proficiency in Korean (highly desirable);

• French and Spanish (advantageous).

• Experience in navigating and interacting with public institutions in the Republic of Korea.

• Experience in organizing on- and offline training courses, or in education more broadly.

• Experience working in an international organization.

• Experience administering several concurrent projects.

• Highly developed problem-solving and multi-tasking skills.

• Good communication and interpersonal skills with the ability to work well in a multilingual and multicultural team, strong client service orientation.

• High level of organizational skills with the ability to work within strict time limits and prioritize tasks to meet competing deadlines.

• High degree of flexibility to adapt to varying levels of work volume.

• Ability to work within the applicable rules, regulations, policies and procedures.

• Confident user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the Internet and ability to quickly adapt to new software. Ability to learn and use on line systems.
